Terms & Conditions

The terms that apply to our programmes and this website

The terms covering applications, places, payments and conduct at the Institute of Rugby London.

Last updated 31 July 2026. Questions to info@instituteofrugby.london.

Applying

Submitting a form on this site is an application, not a booking. It does not reserve a place and it does not oblige us to offer one. Places are limited and selection is competitive.

You will receive an automatic acknowledgement by email confirming we have your application. That acknowledgement is not an offer. Any offer of a place comes separately, from a member of staff, and will say so plainly.

Applicants under 18 must have a parent or guardian named on the application. We will not progress an application for a minor without contacting that adult, and where a contract follows it is made with the parent or guardian rather than the applicant.

Please give accurate information. If something material turns out to be wrong, particularly about age, medical needs or playing eligibility, we may withdraw an offer.

Accommodation

Accommodation is a separate application from a programme place, and applying for one does not apply for the other. Rooms are allocated in application order and are not reserved until we confirm allocation in writing.

Accommodation is provided on the Brunel University London campus and is also subject to the university's own residential terms, which we will give you before you commit.

Fees and payment

Programme and camp fees are shown on the relevant page. Fees are quoted in pounds sterling. Where a deposit secures a place or a room, it is stated at the point of application and is credited against your first payment.

Payment terms, instalment options and deadlines are set out in your offer. A place is not confirmed until the deposit or first payment has cleared.

We may change published fees for future intakes. A fee agreed in a written offer will not change after you have accepted it.

Cancellation and refunds

If you accept a place and then cancel, the deposit is non-refundable, as it holds a place another applicant could have taken. Refunds of any further amounts depend on how much notice you give and are set out in your offer.

If we cancel a programme or camp, you will receive a full refund of everything paid for it, including the deposit.

Nothing here affects your statutory cancellation rights where they apply.

Conduct and participation

Rugby carries a risk of injury. By taking part you accept that risk and agree to follow the instructions of our coaching and medical staff.

We expect participants to treat coaches, staff, other players and the campus with respect. Behaviour that endangers others, or that breaches our safeguarding policy or the university's residential rules, may end your participation without refund.

You must tell us about medical conditions, injuries and dietary needs that could affect your safety, and keep us informed if they change.

Changes to programmes

We may need to change dates, venues, coaching staff or the content of a programme. Where a change is significant we will tell you as soon as we can and, where it materially affects what you signed up for, offer a transfer or a refund.

Liability

We do not limit our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited by law.

Subject to that, we are not liable for loss or damage to personal property, or for indirect losses such as travel or accommodation booked independently of us.

This website

We try to keep the information here accurate and current, but programme details, dates and fees may change. Where the information on this site and a written offer disagree, the offer prevails.

The content, branding and images on this site belong to us or our partners and may not be reproduced without permission.

Governing law

These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction.
